Veterinary Receptionist

Our veterinary receptionist candidate must excel at multi-tasking, be efficient with multi phone lines, scheduling appointments, and completing transactions and payments successfully.  He/she should excel in verbal and written communication.  They have a team-oriented outlook and can ask their coworkers for help when needed and take constructive criticism when warranted.  They are a liaison between our doctors and our clients, and as such they will ensure that the office always remains clean, comfortable, and will provide accurate medical information and comfort when needed.    

Veterinary Receptionist General Tasks:

  • Greet and welcome patients and clients as they walk in 
  • Answer telephone calls, read and respond to emails and faxes in a timely manner. 
  • Support the clinic by scheduling appropriate exams and appointments utilizing our software.
  • Obtain and maintain the client’s contact information as well as the patient’s medical record.
  • Alert the Veterinarian(s) on duty of any emergencies before scheduling.
  • Maintain a safe, comfortable, and healthy environment through hospitality, cleaning and organizing of the lobby including the client bathroom.
  • Maintains communication records by documenting charges, client conversations, animal conditions, reactions, updating database.
  • Maintains office equipment by following operating instructions; troubleshooting breakdowns; maintaining equipment supplies; performing preventive maintenance
  • Keeps inventory of office supplies, office needs, and requesting them when necessary. 
  • Updates job knowledge by participating in educational opportunities; reading professional journals, and team building activities etc.

Additional Veterinary Receptionist Skills and Qualifications:

Knowledge of general customer service with excellent communication and documentation skills. Ability to analyze and assess information on the fly.  Ability to create and maintain a safe work environment.  Has a working knowledge of, or willingness to learn, medical technologies. Demonstrates attention to detail and exhibits an abundance of patience.  Has a pleasant disposition and is able to interact support staff, doctors, and clients alike.
